An Intro to Records Management with Microsoft 365
Businesses need a way to manage, retain, and organize documents for a variety of reasons like regulatory requirements. Microsoft 365 has tools to help organizations intelligently manage business records. By using these tools, businesses can catalog data per requirement (Eg. A financial record versus a legal document) and control the lifespan of those documents.
Managing documents using these record management tools in Microsoft 365 is easy.
First, records need to have a label attached to them. Labels classify what kind of record a document is, and retention and organization settings use those labels for the rest of the document lifecycle. Labels can be applied manually or automatically based on a set of rules.
Once a label is attached to a record, its lifecycle is controlled by a file plan. A file plan will control how long a document is kept for, when it is deleted, or when it is moved. These settings can be configured for each label type.
This is just an overview of how records management works with Microsoft 365. For a more detailed explanation, visit the records management explainer in the Microsoft 365 knowledge base.
