0:00Hello and welcome to the PODES 200 certification course. In this particular course, I'm going to be taking a journey to explore the different features and tools we can leverage in Power Platforms in order for us to accomplish different types of tasks. Whether we're looking at model-driven apps or it's canvas apps, or we simply want to be able to create different types of flow of the environment, we'll look into all that as we progress. So here are a few things I'll ensure you have. Prado us getting started with Microsoft Power Platforms. It's very important that you have the right for Microsoft 365 license. If you're using Microsoft 365 to actually go through this course, I would strongly recommend having a Microsoft 365 E5 license, if you can.
0:38Or you might simply go for an E3 license. Just ensure that you have access to the various features and tools that would allow you to perform the various tasks that will be doing as we progress in this particular course. In addition to that, if you have any business premium that has Power App capabilities, that definitely works perfectly. And then a mixed 365 plan would also work just great. Just ensure that you have access to all the Power Apps, because sometimes your plan might actually restrict it to a single application. And if you want to do some integration or do anything that is outside the application that you have, you might find that to be challenged.
1:09So what we're able to get, whatever you're able to lay your hands on, whether it is a trial version, just go for it and get started. You'll notice as we progress that we touch a bit on Power BI, which is a great tool for business knowledge. So look at the various features that allow us to have different types of reports and be able to present our data in a way that is easy to comprehend and in a way that also looks neat and great to convey the message that we intend to send out. We'll look at Power Apps, which is where we're going to spend quite a considerable time understanding the various features that we can actually use, where they used to customize different templates for applications that we want to build in our environment or to integrate different types of connectors and come up with motor driven apps or its canvas apps that we simply want to have, etc.
1:53So this is really a great tool that allows us to do so rapidly and come up with applications that are great for environment. And then I'm hoping to Power Automat have feature within Power Apps that allow us to automate different types of tasks or activities within our environment, whether it is email or different processes that we have, we definitely get into this in detail. Now based on the Microsoft Static Guide Blueprint, there isn't much covered on Power Virtual Agents. However, Power Virtual Agents are really great to allow us creating different types of chat boards in the environment and various other things you might simply want to automate using Power Virtual Agents, who also must see a lot of content on Power Pages, Data Connectors, AI Builder.
2:28However, there is a lot of information that you're going to cover on the database, the rawit plays in providing lots and lots of resources in terms of feeding the different applications that we have in the environment and ensuring that the users who actually use those applications have access the data they need in order for them to perform their duties. However, when it comes to integration, we'll also look at data connectors and various other things that might simply touch on but not in detail. Some applies to Power BI. There isn't a big chunk of content there, but there is a domain that looks into how we can integrate Power BI and embed some applications that we have in Power Apps and ensure that there is interoperability between the two environments and just make sure that we understand how these things work.
3:06Now, if you have standalone apps, ensure that you have Power BI, Power Apps and Power Ultimate, those three are really a mess. You won't be able to achieve match if you don't have access to these. Going forward, we have to work within the Microsoft 365 admin center where we have the various resources that we can use, just Power Ultimate, Power BI, Power Pages, Power Apps. In addition to that, we also have to understand the Power Apps admin area. By going to Power Apps over here, you'll notice that we have Power Platform in this area and that we have Power App Tools, Power Ultimate, Power BI, Power Pages, Core Palette as well.
3:40If you go to Power Platform Admin Center with the various security features and other adjustments that we can do, the various resources that we have as far as Power Apps are concerned. So it's these two environments that we have to understand as we go forward. In order for us to achieve various administrative tasks, be they creating users or working with roles, or maybe on the Power Apps side, we might want to do with different environments or even setting up security features, we'll have to be conversant with both admin centers for us to accomplish various tasks may be required to within Power Apps.
Power BI Setup
0:00So to set up your environment, you essentially want to download and install applications like we have in this case our Power BI desktop. The process itself isn't complicated. All you have to do is to access the various platforms on which Microsoft allows you to access these apps, like in this case with the Microsoft Power Apps platform, and provided you meet the minimum hardware and software requirements, you'll be good to go. If you're running your Windows 11 64-bit system, nothing will stop you from installing any of these applications. Even when you're running some OS, which might actually be running a 32-bit architecture, you'd still be able to access to these.
0:31Like in this case, you can see we have our Power BI over here. You can access your Power Apps. You have Power Automate and Power Pages over there. And in fact, if you don't intend to commit to a paid license, you have access to these for a limited period of time. Like in this case, you can set up for the Microsoft fabric for a period of 60 days, give access to Power Automate for 90 days, and Power Pages for 30 days. So you can actually leverage these periods in which you're given free access to these resources and be able to learn and familiarize yourself with the various features and tools before you can commit to a paid version.
1:01In addition to the Power Platform site, you can go straight to the Microsoft Store, where you can access various applications like we have Power BI over here. And you can go ahead and begin the free trial from there or even download it from this option over here and get started. Here are a few period visits to be aware of. So at minimum, if you're going to be installing Power BI Desktop on your system , these are the areas that you have to pay attention to. As far as operating systems are concerned, if you have a 32-bit architecture Windows 10, well, you can go ahead and install it. However, what is the command that is a 64-bit architecture?
1:32So if you're having Windows 10 or it's Windows 11 and it's 64-bit, you're good to go. Especially if you're running 64-bit and you're very large data models to deal with. And when it comes to processors, you can get away with a single giga-heads. Microsoft still says that is the minimum required for you to run on your store Power BI Desktop. Nonetheless, the good part is that most processors you get today support 64-bit . So if your processor supports that or if you're a simpler one to have a better experience, I would strongly recommend a 64-bit support and processor for Power BI Desktop.
2:03When dealing with memory, you can actually work with a 4-gig RAM. However, the recommended is 8-gig. So you have to make sure that you have something like this or better. Now if you are going to be doing a lot of Power BI related reports and you simply want to be able to push those through to various platforms or maybe be able to share it to your SharePoint, have part of it maybe shared over the network to different resources, or maybe you're doing this for several that you have in your environment, it's very important that you beef this up. This really has to go higher because Power BI reports can actually consume a lot of memory.
2:35Now disk space 1.5-gig is what is actually said to be the least that we can actually work with. But just like the memory, you have to make sure that you have a larger disk space if you have a lot of resources that you simply want to store locally. And then you have to ensure that your .NET Framework version is 4.7.2 or letter in order for you to successfully make the installation. Now Power BI Desktop strongly relies on the .NET Framework in order for you to execute virus processes. Therefore, it's very essential for us to make sure that this is correctly installed. Finally, your browser should actually support modern features and Microsoft being Microsoft of course would strongly recommend that you make use of age.
3:12However, you can make use of Mozilla Firefox or Chrome to perform different types of tasks within Power BI. And once installed, your Power BI Desktop would look like so. You don't really have to make an adjustments or change certain settings and things like that. Provided you have the right for version installed, you can just go ahead and sign into your account and you'll be able to begin performing virus types of tasks as well as access to Power BI service. And if you have datasets that you'd like to access, you can do so locally or from a SQL or even make use of sample datasets in this particular area.
3:43Now, there isn't much really that you have to do other than that. Provided you have your credentials, you just have to sign into your account and that would also come with a virus, privileges that come with that particular account. And you can go ahead and begin exploring the tool. Now for any updates under Power BI Desktop, at the very bottom here, you can see update available. So you can simply click on that option over here and be able to get the newer version which might come with newer features and other integrable tools that may simply be part of that new release. And from the Power BI perspective, if we go back into Power BI service and over here we have Power Apps, it's important that we familiarize ourselves with this interface as we're going to be spending much of our time in here.
4:21So apart from us being able to create various Power Apps in this particular environment, we'll also work with the different options that are provided in here, like accessing the virus apps that are already there and being able to edit or manipulate them , looking at the virus tables, looking at flows, solutions, etc. There is one area that I simply want us to look at and if we click on that ell ipsis, which gives us more options, we have tables, we have solutions and we also have connections. Now, connectors are very important. This is what allows us to have an integration to other resources we have within our environment and be able to bring those resources into an application of our choice.
4:55So surely we'll be looking into connectors in the following skills. And here we have various options that we can actually get started from. For example, we have an option to begin a blank app. We can also make use of the data versus access, virus, data resources we may have in the environment and be able to create an app based on that data. So there are quite a lot of options that are provided in here and we have some templates that are also provided, we can see office templates or all templates that actually just access to all the templates that we need. We can also search templates based on the industry, maybe something that is in the finance or something that is quite relatable to someone who is trying to create an application for the health sector.
5:29So this is just a part of the many areas that are going to explore as we look into power platforms and the rest of the skills that are going to cover going forward. So I hope this gives you an idea of what resources you need to set up within your environment, whether it's your Power BI Desktop or the virus Power Apps that you need in order for you to be able to accomplish the different tasks that will be performing as we go along on this journey.
Working With Power BI
0:00In one of our previous videos, we went through the process of downloading Microsoft Power BI desktop version. However, we never got the chance to delve into the environment and explore the various tabs and views and the numerous visualization options that allow us to better interpret our data. And that was because that SKU was focused on introducing the two and understanding that there are other options available out there that allow us to integrate our on- prem data using Microsoft Power BI on-prem data gateways to beam that data to Microsoft Power BI. So right now, focus on the Microsoft Power BI desktop and its cloud-based counterpart, the Microsoft Power BI service to better understand how these tools work and how we can better interpret our data and have greater visuals that rightly interpret the kind of changes that are carrying with your environment.
0:45With that said, I invite you to come along. So Power BI desktop is more like the engine. This is where much of the work is done in terms of modeling or data ingestion or anything that actually needs to be interpreted into visuals. It has to pass through this particular area. Now, as you may see over here, this is something that you'd have installed in your device as we saw in the previous nuggets. And it's something that you actually can use offline. So here I have my Power BI desktop. I can begin bringing in data from various sources or even go straight away and begin exploring the virus tools in here. Now, if you are a data analyst or maybe a data engineer or you are a business intelligence manager, you're going to spend much of time in this particular environment. Now, there are three main categories that you have to pay attention to. So when it comes to visualizing our data within Microsoft Power BI desktop, these are three different types of views. We might actually be visualizing our data within the report view, which is where we are currently. And the report view would come with its own tabs and different tools that allow us to execute different types of features. And this is great for creating different types of reports or maybe we simply want to have virus visual elements such as making use of charts and different maps, etc. The report view is the goal to type of view for those kinds of things. However,
2:00that times we may simply want to make use of the actual raw data that has been fed into Power BI. The table view would be the goal to view for those kinds of tasks. Using the table view would be able to look at the data as it is, would actually be able to have various columns and rows and would be able to work with the data directly. Now, what this offers us is the ability for us to edit that data, making changes to it, making maybe some filtration where we simply get read of certain types of data or maybe add certain columns and be able to perform different calculated features, etc.
2:36This is something that might be required at the process of maybe remodeling your data or maybe you're simply trying to combine different sets of data that can only be achieved within this particular area or the table view. And finally, you also have what is known as the model view. The fundamental concept behind the model view is relationships. Now, imagine yourself looking at sales data and that sales data could actually be giving you information regarding different products. Maybe you've got virus products within your environment and you can also look at maybe sales per region. Apart from that, you could also maybe have an understanding as to maybe the different seasons or times of the year at which these cells were happening. And you're able to visualize that information based on these metrics. And this simply allows you to have an understanding of what could be happening within your environment. Perhaps the sales at a particular season of the year, let's say this was January, was low compared to sales that were maybe happening in August, for example. And you'd be able to understand that those cells were lower because maybe a particular region would be experiencing their winter or maybe this summer in that part of the world.
3:49And maybe various other aspects to do with those kinds of projects. And from the model view, you'd be able to understand these relationships and how they'd be driving the virus changes in terms of profits or losses within your organization. And in addition to that, you'll then be able to define the relationship between the virus products that you have and the different regions in which you're selling them and whether there is a direct impact based on the season in which those products are sold. And if there is anything that needs to be changed in order for you to be able to maximize your performance or your return investment in that particular business. So these are the three major views that we'll be dealing with as we progress in this particular scale.
4:28Now, you'd notice that each one of them comes with different additional tabs or other tabs that are simply shown when you click on it. That's very important for us. And as you may have noticed from our home tab, we have different data sources in here. So from this location, we can select a different data source and be able to bring in our data into our report and begin working with that data as we may desire. We can also do the same thing from this location over here. This could actually include data from our Excel workbooks, from our SQL servers or other datasets that we may have in different locations. And once data is in here, we can also go ahead and even maybe think of creating a new page from where we can create a different report. And once we've got the report displayed in this location, it is not up to us to begin using the different visualization options which are seeing on our far right hand side in this area. And we have different options in here.
5:16However, there is one option that we always have to pay attention to because I've realized that it's that in cases, people may actually not be able to interpret that data using regions because they may have not an able setting feature. So in case your map options are not displaying the kind of data that they're trying to interpret, you may simply have to go to your file button . And from here, you can access the options and settings and you can go to options. And in this area, we're able to manipulate what kind of data must actually be interpreted. For example, if we come to security over here, we have different options in here. If we scroll all the way down, you'd notice that we have custom visuals and we have ArcGIS over here for Power BI, which is not selected. So if maybe you're working with some municipal council or you're working with a department that requires to map data in different geographical locations, etc. And you want to fit data that is coming from ArcGIS to be interpreted in ArcGIS for Power BI, you must enable this feature. And it 's the same thing for map and field map visuals. This feature over here must be enabled in order for us to use different types of maps within Power BI. That's very important for us to remember. So I do not really have my own data and I've added a link below this particular video where we can actually access a particular sample or a template for Microsoft containing different types of datasets that
6:32we can use for this particular example. And it is that Excel that I'm going to use for this demonstration. So I'm just going to go ahead and select Excel webbook over here. And from here, I'll select the financial sample, which is the file that I got from Microsoft. And then I'll go ahead and open that. And you realize that once it opens within this particular area, it informs us what the kind of data that we have over here. We can see that these are the financials we've got over here. And we have a [garbled] one. So if we had [garbled] to [garbled], three, we could go ahead and also select those as we progress.
7:04But then let's go ahead and just select what we have over there and click on load. So to go ahead and load that data for us. And once the loading is done, we actually can go ahead and view the data. Now, what did we say is the rightful view mode for us to view road data, it's supposed to be table mode. So if we go to table view over here, we can see different types of data there. We can see different countries. You can see discount brand, unit sold, etc. But if we really want to view the data, we still have to go back to the report view. And over here, this is where we can begin having various visuals brought in. There could be pie charts, there could be stack bars, there could be different types of tables and maps, etc. And if you wanted to visibility into the relationships, we have to go and make use of the model view, because it's from here that we'll be able to look into the virus relationships of the data that we have.
7:53Now back in the report view, we can begin the process of filtering the virus types of datasets or filtering the types of information we'd like to see appear in these visuals. And again, this is where visualization happens. We do not view data from the table view. The table view, yes, it is great. We can actually look at the data raw as it is over here, but no business development manager, no investor, no business person would like to look at raw data. It is just difficult to interpret. So once it's brought into the report view, everybody, including me, can now be able to tell whether we're making a loss or we're making profit as a company. So over here, if we just look at the far right hand side, we've got financials over here. And this is our data. So we can begin looking at what information is great for us to have. What is it that we want to look at? Is it dates? Are we interested in sales?
8:43Are we interested in profits? Are we interested in maybe the name of the month? So we can begin ticking or simply dragging these into this area over here. And as we drag them, we can begin adjusting them as desired. And for instance, if this is something that we want to look into, oh, you're looking at sales, for example, but I would like to know what maybe the gross cell was like. And then we can add that over there. Or maybe we'd like to look at the months in which these cells were happening. And then we can begin filling that information over here. We can see we've got October to March. And we can go on and on looking at various units that are contained within our data. For example, we'll be able to tell that this was our gross cell.
9:23And from that, it gives us information as to what exactly was the total amount of cells before any deductions were done on whatever merchandise or products that we're selling. And we can also correlate these data based on the different regions or locations where the cells were happening. For example, over here, we've got countries. So if we select country over there , or if we simply drag it, in fact, this is a different method in which you can actually select to have a table-like view of the different locations. But if you wanted to have it in a map sort of like display or visualization, then you can simply drag it to a different location within this canvas area.
9:57And oh, here we go. You'd realize that over here, it says map and field map visuals are enabled. So we have to go ahead and enable that, prior to us having access to that data. So follow the same process of going to the file tab and from here accessing options and settings, from options, manipulate the security settings of these particular areas. So go to security. And there we have use map and field map enabled already. I wouldn't really know why it wouldn't allow us to make use of that. So just go ahead and enable it again to just ensure that we have everything set before we can go ahead and try to put in data that requires us to make use of maps.
10:33Okay, so after disabling and enabling it, I'll just go ahead and remove this particular part from my canvas and I'll drag the country section again in this area for the second time. And that did not work. All right, so the reason why in which we would actually work around various features with the admin center to try and bring in the maps . However, I had no intentions of getting into Microsoft Power BI service as of yet, but because we need that feature, I'm going to open my browser and for my browser, there we have Power BI. And this is what we actually refer to as Power BI service. We'll start the discussion on Power BI in a moment.
11:08However, if you haven't been able to access your Power BI feature and you are maybe in your Microsoft 365 admin center, all you've got to do is to go to menu. And from here, you've got Power BI over there. So this is the same section. So in here, you have to go to the settings cog and from here, access admin portal. And from the admin portal, notice that you have tenant settings. Now, these are the two areas we can map configurations that pertain to our maps or ArcGIS or anything that is to do with visuals within Power BI. So it's this one and the security privacy option we saw earlier. So somewhere over here, we've got integration settings. And here you can see you've got ArcGIS, you would Azure maps and you've got map and field map visuals.
11:50It's here that we have to go and enable that feature over there. Now it takes some time to actually update once selected. But once we have enabled that and we could go and apply, we should actually be good to go. It says approximately 15 minutes for it to be able to update. But I just go ahead and minimize this and come back into this area. Sometimes it could be quicker. So I'll get my country option and drag it into the canvas. And there we go. So this is one of the features we needed to enable in order for us to access to that. And we can begin gaining visibility into the virus areas where these cells are taking place. For example, looking at the sum of cells over here and we can see all those locations over there. And we can continue to add more and more information to help our teams understand the trajectory of our business. For instance, over here, we can tell the months that had the highest sum of cells. And we can have greater visibility into that. And if there is a need for us to add additional information, we can still go ahead and do that. Perhaps want to look into the unit sold per maybe product or per month. We can also look at that. So in this case, if we went and picked up unit sold, for example, we can bring it in here. And maybe we could also select the name of the product. So go ahead and select product over there. We can always change these visuals to different types of visuals that we
13:06have within this build visual area. For instance, if we select this option and select a pie chart over here, that would easily change into a pie chart. And we can use that to interpret the information that we are seeing over here from the virus products we've got on our legend over here, the different color codes indicating cells for each and every product we have in our environment. And this becomes easy to interpret. It's easy to see. And anybody can actually see where there is growth and where cells are diminishing. And this becomes very easy if you wanted to publish this or maybe share it with the rest of our team. It's easy for us to do that. And that is why we are now going to look at the Microsoft Power BI service and create a contrast of the two platforms.
Power BI Service
0:00Hey, let's take a look at these a few features within Power BI and that's endorsement alerts and forecasting. Now, when you're looking at endorsements, this is one important feature that we really have to pay attention to because it allows us to have an idea of what exactly is happening the various data sets that we have with your environment. And when your coworkers or consumers of the various data that you're using happen to endorse your data set , it simply implies that they've found the data to be important and useful as far as building reports is concerned.
0:30And what this does is that it creates reliability. So anybody who would actually be looking at that data would understand that the data is reliable. It also simply allows the various users to appreciate that data, meaning it is a valuable data that actually is deemed as very important in your environment. So when you have teams that are collaborating and contribute to different data sets, they'll mainly be looking at a such kind of data. Anything that has been endorsed would actually indicate importance and value. When you look at alerts, the aim is mainly to notify. You want to be able to communicate the changes that are happening with the reports that you have in your environment to the stakeholders or coworkers that you have within your environment. Let's take for example, that we have our report over there with different charts and trend lines or maybe line charts and maybe a card somewhere with some numbers indicating ourselves. So when there's an increase in ourselves, we want to be able to see those changes occur in our report. And when there's a decline, the sense should also be indicated over there. But then we understand that every time users access this particular chart over here, it takes them time. For instance, they may have to log into their environment and after logging in, they have to go to Power BI service from Power BI service.
1:41They have to look at the particular report that they're after. Well, these are various steps that may take some time for someone who has more important tasks to pay attention to, to for example, your CEO. So they may simply say, Hey, you know what, instead of me always logging in every morning to look at this important chart, understanding its significance, would you be able to create an alert for me and forming the various changes that have happened to this particular report every Monday without me having to look for it? So what you would do for the CEO in that case is to simply create an alert for them that allows them to have insight into all these activities without them really having to always look for that particular report. In addition to that, we can use alerts to indicate when a particular threshold has simply been met. Let's say for example that this is zero over here and that is 100, we can set up a letter to inform the CEO of the various changes that are taking place. So if these were cells or the way units of products, we can simply say, Hey, every time we hit this particular threshold, we must be able to trigger an alert that is sent to the CEO. And if we go below 50 taking, for example, that these were items that need to be restocked, you can simply say every time we go below 50, we should also send an alert to the CEO.
2:51And this is the easiest way or CEO can stay up to date with all the changes that are happening within our environment or with that particular report without them having to constantly access this particular report. And these alerts would be generated and sent to them via email and they can then open the email and see what those changes are. And there are any changes that are happening that are not very significant. There is no need for us to constantly bother them. They simply have to be notified when we reach a particular threshold or we simply have something that needs to be communicated to them. Now, when you're looking at forecasting, this is another important aspect of Power BI, allowing us to have an idea of what exactly the future is likely to be. It's more like predicting the trend of the various cells or in activities that we have within our report. For example, in our case, we were dealing with cells for the year 2013, as well as 2014, we could use forecasting to predict how 2015 would look like based on the cells for 2013, January to December, as well as 2014, January, sorry, to December. So forecasting would simply use Power BI capability to figure out what it is like for the various cells that we have in the environment in the year 2015. With that said, let's jump into Power BI and look at how we can accomplish these tasks within our environment. Okay, so when you're looking at endorsing the virus reports that you have in the environment, you simply have to access the
4:09area or the workspace where you have those reports that you want to work with. So if you went to Workspaces, for example, an access finance team, you'd notice that we have the virus reports over here. And if we move the far right, we have endorsement over there. Now, the process is very easy. Once you have identified a report that it should be endorsed, then you can go ahead and click on the n ipses over there, go to the settings and from the settings area, you have endorsement over there. And then you just go ahead and click on promote. And that would endorse this particular report. Now you can see under endorsement, we have that promotion over here, which indicates that this particular report has been endorsed. Now, there is an additional feature other than endorsement known as a certifying within Power BI. Now, when you're endorsing something, you're simply saying, hey, this is valuable, you could use it. But when you're certifying something, we simply mean it has met the virus requirements. This could be this could be quality assurance requirements or maybe peer review processes that a particular report has to go through and meet the virus required specifications before it is regarded as a useful report in the environment. It could be governing standards, different types of requirements would vary depending on the industry and the organization itself. So to certify a document or a report, rather, all we have to do is to go to settings and access the admin portal. And from the admin portal, we can search
5:27for certify. And here we have certification. It's currently disabled for this organization. So let's go ahead and expand that. And we can enable that. Now we can do this for various documents and URLs, etc. But with this in place, we can just go ahead and do it for the entire organization and click on apply. It may take some time to propagate through our organization. But once we have that in place, where we simply can see the various endorsement features that we saw previously on our workspace, we can go back there, we would now instead of seeing endorsement, we would also be able to see certify. So that's an important feature. If it is something that would like to use to distinguish between endorsed reports and certified reports within our environment. Let's look at alerts. Like I said earlier, we can use alerts to simply communicate the virus updates that are happening to reports that we have within our environment. So over here, we have dashboard , which is our report within the finance team workspace. So if you open it over there, we can see the various charts and various visuals that we have within this environment. Now we have some of profit over there and we have fresh products, some of sales, etc. Let's take a example that would like to communicate the changes that are happening here to various stakeholders we have in the environment. The very first thing we'd like to do is to subscribe to this particular report. And how do we do that? We can got the
6:42ellipsis over there. And we have subscribed report. So we subscribe to this report. We're provided to options. One is the standard subscription report and the other is dynamic per recipient. The standard one simply generates a report that is sent to everybody who has been listed as a recipient in this subscription. The dynamic per recipient allows us to customize what would like to send to every recipient that has been listed. Now let's go ahead and select the standard option over there. And here we have an option to give the subscription name. So let's just say this is going to be report one. And over here, we can list the virus recipients who would like to have participate in this particular subscription. We already have the system administrator over there who live it as is. Then we have a touch for report. We can decide to have this in PDF format or we can actually have it in PowerPoint format depending on what exactly would like to see. And we can also see here that this is going to be sent in form of an email. It can also be sent or shared in form of one drive shares or share point. And we can have these stakeholders accessing this report from this size over here. Let's leave this on email format. Below that we have the date, the start date and the end date. We can also see how often we'd like to see this repeat whether it's daily or like to see this happening early or weekly. Depending on what frequency is ideal in this scenario, we have to
7:57choose that option, making sure that it aligns with objective. And if we leave it on weekly, we have to select the virus days that we have to deal with or change it to monthly and select a particular time we'd like to have that particular message sent out. Okay, so let's leave it on weekly for now and maybe just maintain Monday. So every week we should have that update and then we'll go to schedule time over there as well as the time zone in which we'd like to maintain this with that in place we'll click on save. So our subscription would be created just based on that. Okay, so these are report one created. We can still delete this we can edit it or disable it if we intend to do so.
8:33Once we have these in place, the next thing is for us to look at the virus cards that we have and create an alert. So over here if we select some of profits or maybe we want to do with some of cells, we can actually right click on these cards over here and go ahead to set an alert. So if we click on set a let over there, this allows us to begin the process of creating an alert for this particular visual. Now it's important for us to not but this is only achievable when we have Microsoft fabric. Now you can see that here I'm using the fabric trial and that is the reason why I'm able to access this area over here. Now let's look at the various things that we can monitor in this area. So we have cad visual three and this is simply pointing to that being cad visual one, cad visual two, cad visual three. Right, so these are the cards that we can actually work with but we also have the options to select from what is being provided to us over here. We can actually look at the pie chart, we can actually look at the budget that we have over there depending what exactly we would like to use. So we'd like to maintain this on cad visual three and be able to monitor the changes that are happening in that particular area. And here we have the conditions, this is some of cells and we look at the operator under here and decide what exactly we would like to see. Now our intention is to notify the various stakeholders if this becomes less. Now you can take for example that this was maybe a target or maybe it was the number of
9:50products that you have in your inventory and you simply want to be able to monitor that you can use these cards and alerts to simply inform the various stakeholders you have in your organization and help them to act when such important events take place. So let's say becomes less and we've got a figure over there and we maintain this on email and we can click on create and that is what it takes to simply create alerts within Power BI. We're all let's create it. Let's conclude by looking at how we can do data forecasting within our organization. So data forecasting is mainly a visual. It should allow us to visualize how the trend is going to be going forward. So for instance in this case we could actually be able to see the analytics button over there but because none of these support forecasting will only be able to visualize that once we have features or visuals that support it.
10:33So for us to get started let's quickly get rid of the pie chart over here just click on remove and with that we'll go ahead and select the line chart. Notice that the moment you select the line chart the analytics button also pops up in that area. Now let's go ahead and select the fields that we need. We definitely will include cells an important element of field to always add what I'm going to deal with forecasting is time or date. So in this case we select the date and this gives us an idea of how the cells have been occurring over time. You can see September 2018 and then you can also see how it goes until November 2014 over there. So if you go back to analytics over here and scroll all the way down we have forecasting. So if we enable that feature you notice that it begins to show us a trend of how this is going to be in the coming years. We see that has moved from 2014 to January 2015, July 2015 etc and somehow it simply becomes constant when it reaches here but you can see a sharp decline after January 2015 and all this is based on pre-existing data that has been fed into this environment. And that my friend is how we can use forecasting alerts subscriptions as well as endorsements within Power BI to understand different trends and identify reports that are valuable to organization. For now I'll see you in the
Skill Validation
0:00So to rub up this skill, let's quickly go through the validation question. The first question here says, what are the two types of endorsements you can apply to datasets in Power BI to signal their quality and reliability. So the key phrases here are endorsement. You simply want to be able to endorse a particular dataset and communicate to your peers that this particular dataset has accurate data and that it is something that is reliable. So we can see reliability over there as well as the quality of data. Now the two options provided to us within Power BI that enable users to be able to mock data or dataset as top quality and reliable.
0:35Now the first option here says, is certified and promoted and I agree to that. We have verified and trusted. No, that is not available. We have endorsed, well the process of actually marking data is endorsements. So this is not an actual option, certified is available but endorsed isn't. Then we have approved and promoted. Well once data has been marked as reliable and of good quality, it will actually have an indication that says, oh this dataset has been promoted. However, approved isn't an option.
1:06Let's take a quick look at what we have within Power BI. So if we go to Power BI environment quickly, we should be able to see some of these options over there. So here we are within Power BI service and we've got some few datasets over there. If we go to finance for example, we can see it says promoted over there and if you just go to the lectures over there and select the settings area right over here, we can see endorsement and under endorsement, we can see promoted and is certified as the two options provided. And that makes the first answer, A, as the correct option.
1:38Question two says, what type of Power BI feature allows users to get notified when data in a dashboard exceeds a specified threshold? Well, we looked at this feature previously where we can actually set up notifications to inform whether it's a C or a CFR or anybody who's simply wants to be notified every time there's a significant change in the datasets that you have in the environment. And we have options such as data trigger, data alerts, notification rules, a threshold alarms. Well, that actually fell under alerts and we know for sure that B is the right for answer over here that allows us to set up alerts within Power BI service to notify users in the environment.
2:15So triggers wouldn't be the right for answer. However, this is something we're going to cover as we go further looking at flows and other features that we can actually work with in order for us to notify or trigger setting events in an environment. And if we quickly dash into Power BI service and go to our dashboard, just to access one of the dashboards that we have in the environment, if we go to that card over there and just try to set an alert, notice that we have the set a alert option that is provided over there. So neither the notification rules, nor the threshold alarms would actually make a great answer for this question.
2:46Let's go to question three. Question three says, which feature in Power BI allows you to predict future values based on historical data? We've got trained analysis, we have data prediction, forecasting and future insights. C is the right answer over here. Turn analysis, data prediction and future insights are not options provided in Power BI to help us predict future values. So the purpose of data forecasting is that it allows us to use pre-existing data. Let's say we had 2021 data over there, 2022 going to 2024, for example, would actually be able to have an understanding of what is happening throughout these datasets and be able to predict what is likely to happen going in the future.
3:25So if we have January over here until December and we have data from January over here until December as well, and we use forecasting, we can actually begin to understand what the trend is going to be like. So if we had growth going all the way and we are going to look at how that is likely to be going forward, we can actually be able to predict whether it's going to be continued growth or whether it's going to be a decline. This is something that we covered previously and it's a great tool and feature that allows us to work out what ourselves are likely to be in the future.
3:56Let's go to the fourth question. Question four, which Power Platform tool is primarily used for creating automated workflows within applications and services? Well the keyword here is automating, which is a tool that allows you to carry out virus mundane tasks in an automated fashion and free you from all those repetitive tasks that you perform in your environment, allowing you to concentrate on more important tasks that you have to concentrate on within your organization. And we know if you can actually just look at that keyword over here, one of these tools actually aligns with the key phrase itself.
4:28So Power Apps won't be the right for answer. Power BI is great for visualization, Power Automate is the right for answer, Power Pages yes that would also be great for setting way based related tasks. Let's go to the fifth and final question. Question number five says which Power Platform tool is specifically designed to create and manage professional grade websites? Well, so we're looking for a tool, Power Platform and this particular one is great for web designing. Not only do you get to design a web page, but you get to do so in the quickest possible way using natural language.
5:01So the reason any need for the user to learn extensive programming languages in order for them to be able to create these web pages. All right, so let's look at the first option that we've got over here. It says Power Apps. Now, Power Apps are simply for creating applications. You simply want to be able to do so whether you're doing model driven apps or it's canvas apps in the quickest possible time using the data that you have in your environment and virus templates that you can use. You don't really have to build a web page using Power Apps. Power BI, this is for visualization. You simply want to have virus types of visuals and have reports that can be be amed using the different data sets that you have in your environment to communicate what is happening, the trains and the changes that are actually taking place in your organization.
5:40Power Automate like an M suggests allows you to automate virus tasks. There is an email that actually has to be responded to a particular user is able to prefer a particular duty. You can automate that. There is a meeting that is going to happen the first Monday of every month. You can automate that. So Power Automate allows us to do that. And the last available option, which is D, is Power Pages. Also happens with the correct answer. This allows us to create virus web pages and different types of professional grade websites which would enable users to build secure and scalable web experiences with virus teams or even stakeholders that exist within an environment.
6:15I hope you're successful in getting all these questions correct and I'll see you in the next skill as we dive deeper into Power Platforms. For now, I hope this has been informative for you and I'd like to thank you for viewing.
Frequently asked questions
Which Microsoft 365 license should a team member have to follow along with Power Apps and Power BI?
The trainer recommends a Microsoft 365 E5 license where possible, or an E3 license as an alternative. The lesson also walks through setting up resources such as Power BI Desktop and Power Apps so the learner can complete the tasks shown in the course.
What are the options for starting a new app in Power Apps?
The lesson shows three starting points: a blank app, an app built from existing Dataverse data in the environment, or a template. Templates can be searched by industry, such as finance or the health sector, so a team member can pick a starting point that matches the business requirement.
How do endorsements, data alerts, and forecasting work in the Power BI service?
Endorsements signal that coworkers have found a data set important and useful for building reports. Data alerts notify stakeholders by email when a report value reaches a defined threshold, so they stay informed without repeatedly opening the report. Forecasting predicts future trends, for example projecting 2015 sales from 2013 and 2014 data.
Which team members should an IT Director assign this Power Apps lesson to?
The PL-200 course fits IT consultants, Team Leads, and IT Practitioners who already have basic low-code experience or need to validate Microsoft 365 Power Platform skills, and is suited to assignment before expanding citizen-development programs or standardizing Power Apps support.
